We consider data security seriously and Entries AI will strive at all times to ensure that your personal information is protected against unauthorised or accidental access or erasure. We maintain this commitment to data security by implementing appropriate physical, electronic and managerial measures to safeguard and secure your personal information. Our web servers are protected with state of art "firewalls", maintained periodically and monitored round the clock to prevent any unauthorised access. All practical steps are taken to ensure that personal data are not be kept longer than necessary and Entries AI will comply with all legal, statutory and regulatory requirements concerning the retention of personally identifiable information.

Our application does not use or retain any user data obtained through Workspace APIs or Gmail APIs to develop, improve, or train general-purpose AI or machine learning models. We fully comply with Google's Limited Use Policy.

The following applies specifically to users of the Entries mobile application (iOS and Android).

When you use the Entries mobile app and check in for a work shift, the app collects your precise GPS location. Location data is collected periodically (approximately every 15 minutes) while your check-in session is active, including when the app is running in the background or your screen is locked. Location data is collected solely to verify employee field attendance and to record work-shift activity within your employer's HR management system. It is used to confirm that check-ins occur within permitted geographic zones and to provide live attendance tracking to your employer during active shifts. Location collection begins only when you initiate a check-in through the app. It stops automatically when you check out or terminate the session. No location data is collected outside of active check-in sessions. Your location data is transmitted securely to your employer's HR system (powered by Entries). It is not shared with advertisers, data brokers, or any unrelated third parties. Your employer, as the data controller for HR records, determines how this data is stored and retained within their account. You may deny or revoke location permission at any time through your device settings. Denying location access will prevent check-in functionality from working. You may contact your employer or Entries support at support@entries.ai to request access to or deletion of location records associated with your account.

We retain your data during the entire period of services until it gets expired /terminated. After the contract, the data provided is archived and cannot be fetched from our system. This data shall be retained for a reasonable period of time consistent with Entries AI data retention policy and to comply statutory obligations. You can contact us to have your data removed completely after reasonable time and the same will be considered as per policies prevailing at that time.

It's your personal data and you have rights relating to it which we hold for processing. When it comes to marketing communications, you can ask us not to send you these at any time - just follow the unsubscribe instructions contained in the marketing communication, or make your request from the Entries AI privacy webpage.
